Only two figures in Step 2 are asked of the firm directly — RFE/NOID count and hours per response — because they're the only ones a firm can typically report without an audit. The other three (manual/duplicate entry, billing leakage, flat-fee overage) are calculated automatically from case volume using default rates, each shown with its rationale directly above the calculation:

  • Billing leakage (12%) is a hard industry figure: Clio's 2025 Legal Trends Report puts the average law firm realization rate at 88%, meaning 12% of billable work industry-wide never converts to billed revenue.
  • Manual/duplicate entry (2.5 hrs/case) and flat-fee overage (20% of cases, 3 hrs) are directional planning assumptions rather than a single cited study — they're deliberately conservative and meant as a floor. If you know a firm's real numbers, use the "Adjust this assumption" control under each row to replace the default.

Step 1 (software fees) is a fixed monthly cost independent of case volume. The Oravanti plan used throughout is fixed at the Complete Package — $199/seat/month. The bottom line is a direct subtraction — total current monthly cost minus the Oravanti investment — with no additional discounting applied.
